Operations keeps equipment safe, available, supportable, and traceable after handoff.
Purpose and inputs
Begin with the accepted asset register, location and serial data, OEM manuals, warranty records, maintenance schedules, training records, punch list, service contacts, and approved operating rules.
Responsibilities
- Operations: pre-use checks, cleaning, safe isolation, issue reporting, and member communication.
- Facilities or service lead: OEM maintenance scheduling, records, qualified repairs, and parts control.
- Management: staffing, risk review, vendor oversight, replacement planning, and record retention.
Operating rhythm
- Give each asset a stable ID and location.
- Schedule OEM-required inspection and maintenance by model and use conditions.
- Train staff to recognize stop-work conditions and keep unsafe equipment out of service.
- Record symptoms, error text, photographs, work, parts, downtime, and return-to-service approval.
- Review recurring faults, parts availability, warranty position, usage needs, and lifecycle cost.
- Update records after moves, upgrades, ownership changes, and replacements.
Generic guidance never overrides OEM instructions. Do not bypass guards, perform unqualified electrical or structural work, or return equipment to service without the required verification.
