Understand Partner Portal statuses
Statuses report the current recorded state. They do not promise inventory, delivery dates, installation scope, or approval unless the related document explicitly states it.
Quote requests

| Pending | The request is recorded and awaiting review. | Review the submitted snapshot and wait for an update. |
| Approved | My Fitness Outlet approved the request in its current form. | Open available documents and review any next action. |
| Completed | The quote workflow has been completed. | Retain the quote identifier and related documents. |
| Rejected | The request was not approved in its current form. | Contact My Fitness Outlet if you need clarification or a revised request. |
A submitted quote cannot be edited, canceled, or deleted by a partner. Product changes made after a project quote is submitted do not change that quote's equipment snapshot.
Project stages

| Concept | The default recorded stage for a newly created project. |
| Design | The project is currently recorded in Design. |
| Procurement | The project is currently recorded in Procurement. |
| Install | The project is currently recorded in Install. |
| Closeout | The project is currently recorded in Closeout. |
Partners can view the stage but cannot change it. Stage names organize the project; the project's milestones and documents provide the more specific record.
Milestones
Milestones display as Pending or Completed on the project dashboard. A newly created project includes milestones from Project Created through Project Closed. My Fitness Outlet manages milestone completion.
Shipments

| Pending | The shipment has not been recorded as shipped. | Shipment label, assigned items, and any notes. |
| Shipped | The shipment is in transit. | Carrier, tracking number or link, ship date, and ETA when provided. |
| Delivered | The shipment is recorded as delivered. | Delivered date and the received freight condition. |
An ETA is planning information, not a guaranteed appointment. Follow the freight inspection process when the shipment arrives.
Proposals, invoices, and deposits
- Accepted indicates that Accept Proposal was confirmed and the project and quote activity were updated.
- Deposit pending indicates an invoice basis with an outstanding deposit action.
- Deposit paid indicates that a deposit payment was recorded.
- Pre-invoice indicates that project financial information is available before an invoice is present.
These states may appear in Files, quote details, or Project Financials. The portal does not provide an undo for accepting a proposal or completing an external payment. Contact My Fitness Outlet before acting if the document, amount, or project is wrong.
